Four ways to fix accounts payable. Only one of them is us.
Every finance team weighing accounts payable software is really choosing between four options, and three of them don’t involve buying a new platform. Here’s where each one genuinely wins.
| Your ERP's native AP module | Outsource to a BPO | Add AP headcount | A dedicated AP layer | |
|---|---|---|---|---|
| What it does well | Already bought, already configured, already audited. No new vendor, no integration risk, no procurement cycle. | Converts a fixed cost to a variable one. Someone else owns the process and the staffing risk. | Fastest to start. No procurement, no IT, no change management. | Automates capture, coding, matching and approval before anything reaches the ledger. |
| Where it runs out | It's a system of record, not an intake system. Invoice arrival, OCR, approval routing and duplicate detection largely happen outside it. | Cost scales with volume, and visibility usually drops. Exceptions still come back to your team. | Cost scales linearly with invoice count. Doesn't shorten cycle time or reduce fraud exposure. | It's another system to configure, another login, another integration to own. Setup takes real effort up front. |
| Honest verdict | Under roughly 200-300 invoices a month, one entity, a short approval chain, the native module plus discipline is the right answer. Don't buy anything. | Right if you want to stop owning AP entirely and can accept less real-time control. | Right as a bridge. Rarely right as a strategy. | Right above roughly 500 invoices a month, or with multi-entity, multi-approver, or PO-matching complexity. |
If you’re under that volume, we’d rather tell you now than on a demo call. The ROI on a dedicated accounts payable platform comes from invoice count and approval complexity. Below a certain threshold, the maths doesn’t work, and no vendor should pretend otherwise.
Why ERP accounts payable modules stop short and what a dedicated AP system adds
The split is one of design, not quality. An ERP is a generalist: it has to serve inventory, GL, payroll and reporting, so its AP module is built to record a payable accurately once someone tells it the invoice exists, who approved it, and what it should be coded to. A dedicated AP system is built for the hours before that moment.
Intake, not entry
Invoices arrive by email, PDF, scan, EDI and supplier portal. Yooz captures all of them into one queue and reads header and line-level data without per-supplier templates, so a new vendor doesn’t need setup before their first invoice can be processed.
Coding and matching before posting
GL coding and line-level PO matching happen in Yooz, against your ERP’s own chart of accounts and vendor master. What reaches the ledger is a finished entry, not a task.
Approval and control
Routing by amount, GL code, entity or vendor. Duplicate and anomaly screening runs on every document before it enters the approval queue, with 24/7 fraud prevention. Full audit trail with the invoice image attached.
Then it writes back. Yooz connects to 250+ ERPs, so the finished record, the coding and the document image land in the system your controller already closes the month in.

What accounts payable management software actually replaces
- The shared AP inbox → Omnichannel capture. Email, scan, SFTP, e-invoice and supplier submission into one queue.
- Keying invoice headers and lines → AI data extraction, no per-supplier templates.
- The coding spreadsheet → GL coding against your ERP’s chart of accounts, with learned defaults per supplier.
- Three-way matching by hand → Line-level PO and receipt matching, with exceptions routed rather than dumped.
- Chasing approvers → Rules-based routing by amount, entity, GL code or vendor. Mobile approval.
- Checking for duplicates after the fact → Duplicate and anomaly detection before the invoice enters the approval queue.
- “Where is that invoice?” → Status visible on every document, with the image attached, the accounts payable tracking software function most teams are actually missing.
Yooz does not replace your accounting system, and it doesn’t want to. It’s an AP platform that sits in front of it.
What it takes to get running
This is the question the native AP module wins on by default, it’s already configured. So here’s the honest answer.
Configuration is real work, and reviewers say so. Setting up approval rules and getting extraction dialled in for your supplier mix takes effort in the first few weeks. What we won’t do is quote you a timeline we can’t hit, on the demo we’ll give you a date based on your ERP, your entity count and your volume.
“We looked at five offerings, but only Yooz did exactly as advertised. I liked the ease of implementation and its true OCR capabilities. Yooz adapted to our business needs and ERP system instead of us adjusting to the AP automation software.”
